At a hometown wedding, the rehearsal dinner is a small family formality. At a destination wedding in Portugal it mutates into something bigger and better: most of your guests flew in, they are all here the night before, and feeding only the wedding party while everyone else forages is not really an option. The night before becomes the second event of the weekend, and planned well, it does half the wedding's social work: the two families meet, the friend groups mix, and the couple actually gets to talk to people.

Rehearsal dinner vs welcome dinner: pick your format

Three shapes cover nearly every wedding we cater:

The classic rehearsal dinner, 20 to 40 guests. Wedding party, families, officiant. A seated dinner at the villa or a private room, toasts encouraged, the intimate version of tomorrow. This is the American tradition transplanted, and it works beautifully at a long table.

The welcome party, everyone invited. The destination-wedding native format: all guests, standing or semi-seated, petiscos and drinks for two hours. Lower cost per head, maximum mixing, no seating chart to fight over. If most guests travelled, this is usually the right call; excluding people who crossed an ocean feels wrong because it is.

The hybrid. Seated rehearsal dinner for the inner 25 at 19:00, everyone else joins for drinks and petiscos at 21:00. The best of both, and the format we quote most for 80-plus person weddings.

Who hosts and who pays

The US tradition says the groom's family hosts the rehearsal dinner. At destination weddings that rulebook mostly dissolves: in practice the couple hosts and budgets it as part of the weekend, sometimes with one family sponsoring the night as their contribution. Whatever you choose, decide it early and say it plainly; the night before the wedding is a bad time for two families to discover different assumptions about a bill.

One rule from the kitchen: the night-before menu should share nothing with the wedding menu. If tomorrow is refined Atlantic fine dining, tonight is its relaxed cousin. This is where Portugal's casual repertoire shines:

  • The petiscos table: presunto and queijo da Serra, salt cod fritters, garlic prawns, pica-pau, peppers, good bread and vinho verde. Standing format, endlessly replenished.
  • The cataplana night: seafood cataplanas landing at shared tables, salads, and an orange-almond cake. Theatrical, communal, very Algarve.
  • The churrasco: fire-grilled chicken, fish and vegetables in a villa garden, the smart-casual barbecue done properly.

All three read as "we are in Portugal" without spending tomorrow's ammunition. The timeline: protect the wedding day

The night before has one hard job: end on time. Our standard run sheet for a 19:00 start:

The 22:30 close is not puritanism, it is maths: tomorrow runs 12+ hours and its timeline does not bend for hangovers. Put the late night where it belongs, after the wedding.

A second job the night before does quietly: it is the natural overflow for speeches. Portuguese weddings run speeches between dinner courses, and every slot stops service for ten minutes. Moving the longer, looser toasts to tonight keeps tomorrow's dinner moving and gives the shy speakers a smaller room.

The night-before event books with the same caterer as the wedding more often than not, and there is a practical reason beyond convenience: one dietary matrix, one logistics chain, one team that already knows the villa.
