How to host 15 people in a rental villa without losing the holiday
The group organizer's playbook: what villa kitchens can actually do, the real math on cooking vs eating out vs a chef night, and a week plan that works.
In this article
Somebody in every big villa group becomes the food person. They did not apply for the job; they just booked the villa, so the meals became theirs. We cook in these villas every week, so here is the honest playbook we would hand that person.
First, the villa kitchen reality check
Rental villa kitchens are designed for photos, not for feeding 15. Before you plan a single meal, check four things on the listing or with the manager: how many hob rings actually work, whether the oven is full-size, how much fridge space exists once 15 people's drinks are inside, and how many of anything there are (12 forks is a common surprise in an 8-bedroom villa). A dishwasher that runs 90-minute cycles matters more than a wine fridge.
The practical ceiling for self-catering in a typical villa kitchen is a one-pot dinner for 15. Anything plated, multi-course or timed will break the kitchen, the cook, or both.
The real math per head
Here is what a dinner for 15 actually costs in 2026, per person, once you count everything:
| Option | Real cost per head | What nobody counts |
|---|---|---|
| Cooking yourselves | €15 – €30 | Two people lose a half day shopping and the evening cooking, plus the cleanup |
| Restaurant night | €50 – €110 | Three taxis each way, the deposit for a group table, the 9pm slot you did not want |
| Private chef at the villa | €90 – €160 all-in | Nothing: ingredients, cooking, service and cleanup are in the number |
Full pricing detail is in our private chef cost guide. The point is not that the chef night is cheap; it is that its price is complete, while the other two hide their costs in someone's holiday time.
The week plan that actually works
For a 7-night stay with a group of 12 to 18, the pattern that keeps everyone happy looks like this:
- 2 to 3 nights self-catered, deliberately simple. Barbecue, big salads, one-pot dinners. Assign pairs, not volunteers, and keep the menu to things one person can cook while holding a drink.
- 2 nights out, booked before you travel. A group of 15 walking into a restaurant in August does not get a table; a group that booked three weeks ago gets a good one. Book lunch out rather than dinner where you can, it is cheaper and taxis are easier.
- 1 to 2 chef nights at the villa for the occasions: the birthday, the last night, the night everyone is finally there. A private chef dinner for 8 to 20 is our core format, and the group splits one fixed per-guest price.
- Breakfasts stay simple. One giant supermarket order on day one (delivery services cover most villa areas), pastries fetched by whoever wakes first.
If the idea of running even the simple nights sounds like work, a villa chef for the whole stay makes the entire question disappear for €110 to €190 per guest per day, groceries included.
The shopping run, quantified
One shop for 15 people covering 3 self-catered dinners plus breakfasts is a €450 to €700 trolley and a full car. Do it once, on arrival day, from a list; daily top-up runs are how holidays evaporate. For the barbecue night, count 350 to 450g of protein per adult and double the salads you think you need.
When to book what
Restaurants for big tables: 2 to 3 weeks ahead in summer. A chef night: 2 to 3 weeks for a normal date, 4 to 6 for peak Saturdays in the Algarve, and short notice is always worth asking. The villa supermarket delivery slot: book it before you fly, arrival-day slots go first.
The host's real job is not cooking; it is deciding early which nights are which. Do that in one message to the group before the trip, and the food person gets their holiday back.
Give the food person their holiday back.
Date, villa and headcount, we reply within 24 hours with a fixed per-guest price for the dinner, or the whole stay.

How do you feed 15 people in a rental villa?
Mix the week: 2 to 3 deliberately simple self-catered nights, 2 pre-booked restaurant outings, and 1 to 2 private chef nights at the villa for the occasions. A typical villa kitchen handles one-pot cooking for 15; anything more ambitious needs a professional team.
How much does a private chef for 15 people cost?
€90 to €160 per guest in 2026 for a 3 to 4 course dinner, all-in: ingredients, chef, service team, setup and cleanup. For 15 guests that is €1,350 to €2,400 total, split cleanly per head on one written proposal.
Is a private chef cheaper than a restaurant for a big group?
Often comparable once you count everything. A good restaurant night for 15 runs €50 to €110 per head plus taxis both ways and a group deposit; a chef night is €90 to €160 with nothing on top and no logistics. Between 8 and 20 guests the villa dinner usually wins on experience per euro.
Can a rental villa kitchen handle cooking for a large group?
For simple one-pot meals and barbecues, yes. For plated or multi-course dinners, rarely: domestic hobs, single ovens and 12-of-everything cupboards break under 15 covers. Professional teams pre-prepare in their own kitchen and finish on site for exactly this reason.
How far ahead should a big villa group book meals?
Restaurants for 15: 2 to 3 weeks ahead in summer. A private chef night: 2 to 3 weeks for normal dates, 4 to 6 for peak Algarve Saturdays. Supermarket delivery for the arrival shop: before you fly.
