They are conservative in the right direction: slightly generous, because a reception that runs out of food is the only kind anyone talks about afterwards.

The one distinction that changes everything: is the cocktail before a meal or instead of one? A cocktail replacing dinner needs those 2 substantial items per guest (a slider, a small rice or pasta portion, anything fork-worthy), or the elegant reception quietly becomes a hungry one at 10pm.

How many varieties to serve

  • Up to 8 pieces per person: 4 to 6 varieties. Fewer, done perfectly, beats a scattered dozen.
  • Full cocktail-dinner format: 8 to 10 varieties across the arc of the event, moving from lighter and cold early to warm and substantial later.
  • The savoury-sweet split: roughly 75/25. Sweet canapés land in the final third, and they signal the event is closing better than any announcement.

Dietary buffers the pros build in

At least a third of the selection should be vegetarian, not as a separate tray but inside the main flow, because everyone eats the good vegetarian pieces. Flag gluten-free and allergy needs at booking and a serious caterer builds dedicated pieces rather than removing ingredients from existing ones. And order for 100% of confirmed guests plus a 10% buffer; receptions concentrate people around trays in waves, not averages.
